Booking Terms & Conditions

Last updated: September 2026

These Booking Terms & Conditions apply to tours, safaris, accommodation, transfers, excursions and other travel services booked through Serengeti Summerland Safaris.

By making a booking with us, you confirm that you have read, understood and accepted these terms.

1. Acceptance

When you make a booking, you agree to these Booking Terms & Conditions on behalf of everyone travelling under the booking. Please read them carefully before confirming your trip.

2. Definitions

In these terms:

  • “We”, “us” or “our” means Serengeti Summerland Safaris.
  • “You” or “customer” means the person making the booking and everyone included in the booking.
  • “Tour” or “trip” means any safari, holiday, excursion, transfer or travel package arranged by us.
  • “Supplier” means a hotel, lodge, camp, airline, transport company, activity provider or other third-party service provider.
  • “Booking” means a confirmed reservation for our services.

3. Booking Tours

You can request a tour through our website, email, phone, WhatsApp or other official communication channels.

A booking request is not confirmed until we have checked availability and sent you a booking confirmation.

Prices may change before confirmation if accommodation, transport, park fees or other supplier costs change.

4. Booking Confirmation

Once your booking is confirmed, we will provide you with the agreed tour details, including the itinerary, accommodation, services and price. Please check your confirmation carefully and tell us as soon as possible if any information is incorrect.

5. Payment Terms

A deposit may be required to confirm your booking. The remaining balance must be paid according to the payment schedule stated in your booking confirmation or invoice. For some accommodation, flights or special arrangements, different payment deadlines may apply.

6. Payment & Invoices

We will provide payment instructions and an invoice showing the agreed amount.

A booking may not be considered confirmed until the required payment has been received.

Any bank charges, transfer fees or payment processing charges may be payable by the customer unless otherwise agreed.

7. Currency

Unless stated otherwise, our tour prices are quoted in United States Dollars (USD).

If payment is made in another currency, the amount may vary according to the exchange rate and payment provider used.

8. Tour Amendments

You may request changes to your tour after booking.

We will do our best to accommodate your request, but changes depend on availability and may result in additional costs.

Changes are only confirmed once we have agreed to them in writing.

9. Tour Element Modifications

Hotels, lodges, camps, routes, vehicles, activities or other tour elements may sometimes need to be changed because of availability, weather, park conditions, safety or circumstances outside our control.

Where a change is necessary, we will aim to provide an alternative of a similar or appropriate standard.

10. Cancellation

If you need to cancel your booking, please notify us in writing as soon as possible.

Cancellation charges may apply depending on how close the cancellation is to the start of your trip and on the cancellation terms of our suppliers.

Your booking confirmation may contain specific cancellation conditions that apply to your trip.

11. Refunds

Where a refund is due, it will be processed according to the applicable cancellation and supplier terms.

Some payments may be non-refundable, including certain accommodation, flight, permit, park or special activity costs.

Refund processing times may depend on banks, payment providers and third-party suppliers.

12. Force Majeure

We are not responsible for delays, cancellations, changes or additional costs caused by events beyond our reasonable control.

These may include severe weather, natural disasters, political unrest, strikes, road closures, government restrictions, disease outbreaks, security issues, wildlife conditions or other unforeseen events.

We will make reasonable efforts to assist you and find suitable alternatives where possible.

13. Passports, Visas & Travel Documents

You are responsible for ensuring that you have:
  • A valid passport
  • The required visa or entry permission
  • Any required permits
  • Valid travel documents
  • Any documents required for your nationality or destination
We can provide general travel information, but the final responsibility for meeting immigration and entry requirements remains with you.

14. Insurance

We strongly recommend comprehensive travel insurance before travelling.

Your insurance should cover appropriate medical expenses, emergency evacuation, cancellation, delays, lost luggage and other travel risks relevant to your trip.

We are not responsible for costs that your insurance should cover.

15. Health & Safety

You are responsible for informing us before travel about any health, mobility or medical requirements that may affect your trip.

Safari travel can involve long drives, uneven terrain, remote areas, changing weather and limited access to medical facilities.

You should seek appropriate medical advice before travelling where necessary.

16. Tour Suitability & Inappropriate Behaviour

You are responsible for choosing a tour that is suitable for your needs, abilities and circumstances.

Guests must follow reasonable instructions from our guides, drivers, accommodation providers and activity operators.

We may refuse or end services where a person’s behaviour creates a serious risk to themselves, other guests, staff, wildlife or property.

No refund may be provided where services are ended because of serious inappropriate behaviour.

17. Children & Age Requirements

Children are welcome on many of our tours, but age restrictions may apply to certain accommodation, activities, flights or excursions.

Parents or guardians are responsible for children throughout the trip.

Please provide accurate ages of all children when making a booking so we can recommend suitable arrangements.

18. Special Requests & Dietary Requirements

Please tell us about special requests, dietary requirements, allergies, accessibility needs or other important requirements when making your booking.

We will pass these requests to the relevant suppliers, but we cannot guarantee that every request can be fulfilled.

Guests with serious allergies should also communicate their requirements directly to accommodation and activity providers when appropriate.

19. Problems During a Trip

If you experience a problem during your trip, please tell your guide, driver, hotel, lodge or our team as soon as possible.

Giving us the opportunity to resolve a problem while you are travelling can often help us find a quick solution.

If a problem cannot be resolved during the trip, please follow our complaints procedure.

20. Airline & Flight Issues

Airlines are responsible for their own flights, schedules, delays, cancellations and baggage handling.

If a flight is delayed or cancelled, we will assist with reasonable arrangements where possible.

Additional costs caused by airline changes may be the customer’s responsibility unless otherwise covered by the airline or travel insurance.

21. Transfer Problems

We arrange transfers according to the information provided in your booking.

Please provide correct flight numbers, arrival times, departure times and contact details.

If your flight schedule changes, you should inform us as soon as possible so we can adjust your transfer arrangements.

Additional transfer costs may apply where changes are made at short notice.

22. Additional Excursions & Activities

Optional excursions and activities are not included unless clearly stated in your booking.

Additional activities may have their own safety requirements, age restrictions, cancellation conditions and supplier terms.

Prices and availability may change.

23. Supplier Terms & Conditions

Some services are provided by independent suppliers, including hotels, lodges, camps, airlines, transport companies and activity operators.

Their own terms and conditions may apply in addition to these terms.

Where applicable, supplier-specific cancellation, payment, safety and booking conditions will be communicated to you.

24. Park Fees & Government Charges

National park fees, conservation fees, permits, taxes and other government charges may form part of your tour price.

Where these charges change after your booking, additional costs may apply if they cannot reasonably be absorbed within the original price.

25. Liabilities & Limitations

We take reasonable care when arranging your trip and selecting our suppliers.

However, we cannot be held responsible for loss, damage, delay, injury or additional expenses caused by circumstances outside our reasonable control or by the actions of independent suppliers.

Nothing in these terms is intended to exclude any liability that cannot legally be excluded under applicable law.

26. Customer Protection

We aim to provide clear information about the services included in your booking and to work with reputable suppliers. You should review your booking confirmation, payment terms, insurance arrangements and travel documents before departure. Where a service cannot be provided as agreed, we will make reasonable efforts to provide a suitable alternative or other appropriate solution.

27. Complaints Procedure

If you have a complaint during your trip, please report it to us as soon as possible so we have an opportunity to resolve it.

After your trip, complaints should be submitted in writing with the booking details and relevant information.

We aim to acknowledge complaints promptly and work towards a fair and practical resolution.

28. Fraudulent Enquiries

We reserve the right to refuse or cancel enquiries or bookings that appear to involve fraud, false information, stolen payment methods, impersonation or other unlawful activity.

Where appropriate, suspected fraudulent activity may be reported to the relevant authorities or payment provider.

29. Legal Jurisdiction

These terms are governed by the laws applicable in the United Republic of Tanzania, unless applicable law requires otherwise.

Any dispute will be handled through the appropriate legal or dispute-resolution process in Tanzania.

30. Information Accuracy

We make reasonable efforts to keep our website, itineraries, prices, photographs and other information accurate.

However, accommodation facilities, routes, activities, prices, schedules and other details may change.

We reserve the right to correct errors and update information when necessary.

31. Website Terms of Use

The content on the Serengeti Summerland website is provided for general information and travel planning. You may not copy, reproduce, modify, distribute or commercially use our website content, photographs, branding or other materials without our written permission.

32. Privacy & Data Protection

We collect and use personal information that is necessary to manage your enquiry, booking and travel arrangements.

This may include your name, contact details, passport or travel information, payment information, dietary requirements and other information needed to provide your services.

We may share relevant information with trusted suppliers when necessary to arrange your trip.

We do not sell your personal information.

Please refer to our Privacy Policy for more information about how we collect, use, store and protect personal information.

33. Photography, Reviews & Marketing

We may ask guests to provide photographs, videos or reviews of their experience. We will only use customer content for marketing purposes where we have appropriate permission to do so. If you do not want your image, name or review used for marketing, please let us know.

34. Responsible Tourism

We are committed to responsible travel and encourage our guests to respect Tanzania’s wildlife, environment, local communities and cultures.

Guests should follow park rules, avoid disturbing wildlife, respect local traditions and communities, and help reduce unnecessary waste.

We encourage responsible choices that help protect the places and communities we visit.

35. Contact Us

If you have questions about these terms, your booking or your upcoming trip, please contact Serengeti Summerland through our official contact channels.

We are happy to clarify any part of these terms before you make your booking.
